Reception Evaluation Checklist

Due to the fact that the reception is generally the wedding activity which requires the most planning, we have compiled a list of questions. The best way to start your planning is to review the questions and check them off as they are completed.


1] Reception site: church, private club, museum, zoo, private mansion, gardens, family or friend's home, etc


2] Size capacity?


3] Time allotted for the reception?


4] Terms of Liability


5] What rental fee includes?


6] Ratio of staff to guests?


7] Overtime charge?


8] Security?


9] What is the clean up policy?


10] What is the minimum/maximum size of the guest list?


11] What is the price per guest?


12] Method of payment?


13] What is the policy for special meals? Extra price?


14] Set up a date for testing menu and taking a tour


15] Price to provide food for band, photographer, videographer, etc


16] Decide upon entertainment, DJ vs Band


17] Check acoustics of the reception site


18] List of all equipment available


19] What types of food are available (and get sample menus)


20] Beverage choices: liquor, beer, wine, champagne, punch, non-alcoholic drinks, coffee, tea, etc


21] Cost of open bar vs. two hour cocktail bar


22] What are the house brands of liquor


23] Evaluate the size of the dance floor


24] Where is the best location for the gift table
